Internal Sales Coordinator
PURPOSE OF JOB
To support the Internal Sales Manager by coordinating internal sales activities, ensuring smooth follow-up of customer orders and sales projects, and contributing to optimal customer service and satisfaction.
RESULT AREAS
Organization
• Supports the Internal Sales Manager and internal sales team in daily operational activities.
• Coordinates and follows up on customer orders, sales projects, and packaging-related activities.
• Ensures correct and timely processing of customer requests and internal sales tasks.
• Maintains close coordination with planning, production, quality, logistics, and packaging departments to ensure smooth order execution.
• Assists in monitoring customer satisfaction and service levels.
• Follows up on agreements with customers and ensures correct internal communication.
• Supports the follow-up of new sales-related projects from A to Z, including timely delivery.
• Ensures accurate master data (customer, project, packaging) and forecasts are correctly entered and maintained in the ERP system.
• Ensures compliance with safety, quality, and health regulations at all times.
• Checks whether assigned tasks within projects are completed correctly and on time.
• Assists in checking invoices and resolving discrepancies in coordination with the Internal Sales Manager and finance department.
Administration
• Prepares and maintains internal sales documentation and reports.
• Supports reporting to the Internal Sales Manager and CEO when required.
• Ensures accurate order administration, confirmations, and customer documentation.

• Acts as a point of contact for customers regarding operational and administrative matters.
• Ensures accurate and timely follow-up of customer communications.
• Communicates proactively and positively with customers and internal departments.
• Escalates deviations, delays, or issues to the Internal Sales Manager in a timely manner.
• Communicates capacity issues, illness, or understaffing within the team when relevant.
Responsibilities
• Supports internal sales colleagues in the execution of projects and daily activities.
• Sets priorities in assigned tasks in alignment with the Internal Sales Manager.
• Identifies practical solutions for unforeseen operational problems and discusses them with the Internal Sales Manager where needed.
• Supports coordination with planning regarding scheduled production and deliveries.
• Contributes to continuous improvement initiatives aimed at improving customer satisfaction and service level.
Responsibility
• Ensures assigned projects and orders are handled efficiently and correctly.
• Ensures inspections and quality-related processes are supported effectively.
• Works safely at all times and reports unsafe situations.
• Uses working time efficiently and supports optimal workflow within the team.
• Reports deviations from quality regulations or missing quality documents to the Internal Sales Manager and/or relevant department.
